This Refund & Cancellation Policy defines the framework through which refund requests and application cancellations are managed. It ensures consistency, accountability, and alignment with industry best practices, international accreditation standards, and CERTINOVA’s internal operating procedures.

1. Policy Objectives

Certinova Management Pvt. Ltd.. (CERTINOVA) has established this Refund & Cancellation Policy to ensure that clients have a clear understanding of the conditions under which refunds or cancellations may be requested. The objective is to maintain transparency, uphold client trust, prevent unnecessary disputes, and align with the organization’s commitment to service integrity.

2. General Principles

CERTINOVA’s approach to refunds and cancellations is governed by principles of fairness, contractual clarity, and procedural accountability.

  1. Refund and cancellation provisions apply only to certification, surveillance, and recertification services.
  2. All clients must sign a valid agreement before audit initiation.
  3. Refund requests are evaluated case-by-case and require written approval.
  4. Requests must be submitted in writing within defined timelines.

3. Cancellation Policy

Clients may initiate cancellation at any stage:

  1. Pre-Audit Stage: Partial refund after admin deduction
  2. Audit Planning Stage: Proportional refund may apply
  3. Audit Execution Stage: No refund after audit begins
  4. Post-Certification Stage: No refund allowed

4. Refund Eligibility and Timelines

Refunds are processed after review and may take up to 15 business days. Certain charges like taxes and admin fees are non-refundable.

5. Non-Refundable Scenarios

Refunds are not provided in the following cases:

  1. Cancellation after auditor allocation or travel booking
  2. Failure to provide required documents
  3. Client delays or no-show
  4. Non-compliance with ISO standards
  5. Certificate already issued or listed publicly

6. Scope Adjustment, Rescheduling, and Transfer

Scope changes may not guarantee refunds. One-time rescheduling allowed with notice. Additional changes incur charges.

7. Force Majeure Clause

Refunds are not issued under uncontrollable events such as:

  1. Natural disasters (flood, earthquake, pandemic)
  2. Political/legal disruptions
  3. Major IT or cyber failures

8. Client Responsibilities

Clients must review policies, provide documents timely, and maintain communication throughout the process.

9. Dispute Resolution

Clients may appeal decisions:

  1. Submit written appeal within 10 working days
  2. Review completed within 15 working days
